Using MS Word Wildcards for Advanced Find and Replace | The Efficient Editor


Editing can involve a lot of tedious work conforming text to house style – for instance, changing something like this… …to something like this. Only thousands of times. Sometimes you even have to change this… …into this. Which can be tedious to do… Unless you’re willing to go wild! Wildcard find and replace, that is. Welcome to today’s episode of The Efficient Editor. A great place to learn about Word wildcards is Jack Lyon’s helpful and handy Wildcard Cookbook. It’s available for free download from 🤍 But we’d like to take a couple of minutes right now to show you how wildcards work and what they can do for you. Word Wildcards may seem like deep, dark, inscrutable magic spells. But in reality, they use a small number of basic principles and characters, and once you know those, the secrets are unlocked. Meet the Wildcard Bunch: ordinary symbols that are secret superheroes. Their power is unleashed when you check the “Use wildcards” box in Word’s Find and Replace dialog. The asterisk is the wildest one. It stands for any number of characters of any type – or no character at all! The question mark stands for any one character at a time. The square brackets mean “Choose from this set!” The set can have a list of individual characters – or a range. The “at” sign means “Again!” It can be used with square brackets (indicating a set of characters) to make it a real team player. The angle brackets (that’s the less than and greater than signs) are word boundaries. The less than sign means the start of a word. The greater than sign means the end of a word. Combine your superheroes to find an incredible variety of words. Try not to further combine them with a word list to cheat at online word games. The exclamation mark means “not!” As in “Not this! Anything but this!” You can use it to avoid finding certain specific characters or combinations. The curly brackets mean “Repeat this a certain number of times.” Put one number in to say how many times to repeat it. Put two numbers in to specify a range of numbers of times. The parentheses are the sheepdogs. They work with the backslash. Use parentheses in the “Find” box to group things. For example, to find all dates that put “AD” after the number and move it to before, find: • any one to four digits, • a space, • capital AD. Those will be represented in the “Replace with” box by backslash 1, backslash 2, and backslash 3. You can move, remove, or replace any group. To fix the dates, just swap the numbers and the “AD.” But the backslash is also a double agent! If you put it in the “Find” box, it strips the other superheroes of their power. Use it before a superhero character and it turns that back into a search for its literal character! Get the Wildcard Bunch working in a team and you can save a lot of time on some fairly basic replacements. For example, to find two-letter state abbreviations that are in parentheses and change them to be between commas, find: • a space and the opening parenthesis – that’s backslash parenthesis to indicate a real parenthesis, inside parentheses that make it the first group, • any two capital letters, • closing parenthesis – that’s backslash parenthesis again. In the “Replace with” box, those would be backslash 1, 2, and 3. But this time, you replace it with: • a comma and a space, • backslash 2, • and another comma. You can also use wildcards for more complex operations, like restyling a whole bibliography. You probably don’t want to have to look wildcards up, check them, and test them every time you need them! So you’ll be happy to know that you can have the Wildcard Bunch ready and set to do whatever tasks you need them to, again and again, just by adding them to a PerfectIt style. Adding wildcards to PerfectIt helps you find all possible instances and means you can check and fix them one by one with lots of emphasis on the context, so you don’t accidentally change something you shouldn’t! How to Use Find and Replace in Microsoft Word


If you have a long Word document and want to replace one word that is used multi times or may you have misspelled it. Then, it is very easy to replace a word or phrase in one go in Microsoft Word. In this video, we will show you how to use Find and Replace feature of MS Word. Follow these easy steps. 1. Keep your cursor at the beginning of your document. 2. Click on the Home tab. 3. In the Editing section, click on the Find down arrow. 4. From the drop-down list, click on the Advanced Find… 5. This will open a Find and Replace window. 6. Click on the Replace tab. 7. Type a word or phrase in the Find what text field that you want to replace with another word, like here I am typing Sed. 8. In the Replace Text field, type a word or phrase, here I am typing Dot word. 9. When you click on the Find Next button, it will select and highlight that used word in your document. 10. If you will click on the Replace button then it will replace a single word or phrase for one time. 11. If you want to replace a word in one go that is used multi times in your document, then click on the Replace All button. 12. A pop-up window will show you the number of how many words have been replaced. Like here, it is showing that it made 8 replacements. 13. Click on the OK button, and see we have replaced the Sed word with Dot. 14. Click on the Close button to close the Find and Replace window. Hope this was easy. Have a nice day! Welcome back. It’s Cindy again. We are in module 2 which is the Getting Started with Word module and we’re all the way down to section 6, Go To, Find, and Replace Options. Now sometimes when you’re working with especially larger files you might need a quick way to go to page 900 for some reason or a quick way to replace several words in that document. So let me just talk to you a little bit about how to use the Go To, Find, and Replace options in Word. When you’re working in your file and you want to use the Find, Go To, or Replace options you might want to think about starting at the very top of the document because all of these searches will start from wherever your mouse is clicked. Now I want to show you a basic Find just to start with. I’m on the Home tab and I’m going to go all the way to the right and you’ll see Find here. Now I could just click the Find but if I click the down arrow I get a couple of choices. Let me start with Find. So let’s say that I’m looking for a particular word and let’s say that I’m looking for the word Firm. I can just type in the word Firm and when I hit the Enter key notice that it finds all the instances of the word Firm and it selects them and puts in yellow here for me. So that’s a quick way if you’re just trying to get it to find some words for you. But let me do this. I’m going to go ahead and close that navigation on the left there and I’ll make sure I’m clicked at the top again. Sometimes you know you’ve got a certain paragraph in here and you can scroll all day long and you just miss it. So if I use the Advanced Find right up here this is going to allow me to put in specific words I’m looking for and it will find them one at a time. So let me move this out of the way. Let’s say that I’m looking for the word Properties. Now I’m going to go ahead and hit this Find Next and you’ll see that it stopped on the first instance of Properties that it came to. If that’s not the instance I want I’m going to hit Find Next again and notice it found the next one. And so on and so forth. So that’s a good way to have it search and just look for them one at a time for you. I did want to mention over here where you see this More, if you just click on that there’s some additional choices you can tell it to use in the search. For example, this Match Case, if I check it it has to find the word Properties with a capital P because that’s the way I typed it in. Otherwise if I leave it unchecked it doesn’t matter if it’s a capital or a small P. Find Whole Words Only. If I had the word He typed up here it would find He’s or any word with He in there. So if you’re looking for a specific word without the S at the end and that sort of thing check Find Whole Words Only. Wild Cards. Let me give you some examples of Wild Cards. A star is a great example. What if I had the letter S typed up here and I typed this with a star? That would tell me to find any word that starts with an S no matter what it ends with. And you can used wild cards at the beginning, at the end or you can have text in between either one. If I have this that means the word can start with anything and it has to end with an S. So that’s one example. Another example might be what if I have let’s say the letter A and I put two question marks? That means the word has to start with an A and it can only have three characters total in the word. So that’s a couple of examples of wild cards. Let's say that in a document I want to replace CO2 and CO2 (2 as subscript). If you have ever tried, then normal copy paste in replace with dialogue box doesn't work. How to find and replace in Word in 1 MINUTE (HD 2020)

I am going to show you how to find and replace your desired words and your are also going to learn the keyboard shortcuts. Procedure: To find words we need to go to the "Home" tab and in the section editing we need to click on "Find". Alternatively we can use the keyboard shortcut "CTRL + F". Then we just need to enter the word that we want to find and Microsoft Word will show us all instances of the searched word. To replace words we again need to go the editing section but this time we need to click on "Replace" or we need to use the shortcut "CTRL + H". In the new window in the first line we need to enter the word that should be replaced and in the second line we need to enter the replacing word. When clicking on "Replace" we will need to approve every single replacement. To avoid this, we can simply click on "Replace All". Why all that? Sometimes we are writing a long document and realize afterwards, that an entered information is wrong but this information is used multiple times. It would be possible to search for the each instance of that information separately but why should we do that, when Word can easily find all of them and replace them? This tutorial for #find and#replace in #Word should work for Word 2007, Word 2010, Word 2013, Word 2016, Word 2019 and also Office 365. In the previous section, we looked at the use of the Navigation Pane and one of the uses of the Navigation Pane is to find text or other objects within a document. Now there is another way of finding text within a document although it largely overlaps with the method you saw in the preceding section. And it uses a dialog that’s been a feature of Word for a few versions now, and it’s the Find and Replace dialog and that’s what we’re going to look at in this section. Now the exercise that I’m going to perform on this file is to replace the word Choose in it everywhere that it occurs with the word Select. Now I don’t know how many times the word Choose occurs in this document. At the moment within this document, the cursor, what’s called the insertion point is before the word Reading there in the sixth paragraph, so it’s just there. On the Home tab, the right hand editing group at the top there is Find and we’re going to go for the second option which is Advanced Find. Now if I select Advanced Find, I get the Find and Replace dialog. Now it’s a pretty straightforward dialog to use. You type what you’re looking for in this case Choose and you click on Find Next. Now, watch what happens. The insertion point is just before the word Reading, paragraph six, click on Find Next, and it finds an occurrence of Choose in paragraph seven actually. Now the reason I’m mentioning these paragraphs and paragraph numbers is to point out an important difference between this and using the Navigation Pane and that is that when you’re using this Find and Replace approach the Find starts at the insertion point so it starts where the cursor is now and it carries on from that point to the end of the document. When it gets to the end of the document, it goes back to the beginning and cycles right round to where you started from again. So, back into Find and Replace. I put the insertion point back where it was at Reading, click on Find Next, it finds a Choose, Find Next. Quite a bit further down the document, you can just see that one above the dialog. Again there’s no Navigation Pane here to list all these occurrences. As you click Find Next again and again, it just hops from one to the next. And then it’s getting towards the end of the document now, click again, click again, and then before too long it gets its way back up to the beginning again. And there we are, that’s right near the beginning of the document. So that is a pretty straightforward way of stepping through the occurrences of the word Choose in this document. In addition to being able to do a straightforward Find like that, there is a button at the left hand corner one here, More, and if you click on More, it gives access to a number of other options which are basically very similar to the options that you get in the Navigation Pane. So you have options like Match case, Find whole words only, etc. Now in addition, there are additional options down here. I’m not going to look into these now but I’ll briefly describe them. Format and Special, you can look for the text that you’re looking for in this case the word Choose, with a particular font or in a particular font or with some kind of special characters in or around it. So it is a very, very flexible and powerful way of finding. Sorry, we couldn't fit the entire video transcription here since YouTube only allows 5000 characters.
